Use of premises and safety instructions
On this page you will find guidelines and rules on the use of the premises and safety.
Our customers must follow guidelines to ensure the functionality and cleanliness of the premises and equipment for other users. It is also important to follow general safety guidelines.
Getting around / Pindora smart locks and keys
- EXEN will provide the customer with a Pindora door code (and/or physical key) for the duration of the reservation (Note! Day and overnight/weekend bookings only)
- The customer is responsible for using and distributing the Pindora door code to his/her group.
- The customer is responsible for any damage caused by misuse of the Pindora door code or key.
- The Customer will be charged for the lost key and for any rekeying in accordance with the actual charges.
Accommodation
- It is possible to book temporary accommodation with your reservation.
- For overnight bookings, the EXEN contact person will have the customer fill in an emergency plan and submit it to the rescue service at least 5 days before the customer's arrival. For this reason, reservations must be made at least 5 days before the start of the stay.
- When booking accommodation, check-out by 14.00.
- The guest must have a list of names of the people staying.
- You must wear your own bed linen (bed sheet, duvet cover and pillowcase).
- Ask about the possibility of renting bed linen at info@exen.fi.
Games room and hardware
- You can bring your own gaming and peripheral equipment e.g. mouse, keyboard and headphones
- We encourage customers to use their own game IDs.
- Downloading illegal applications such as torrents is strictly forbidden.
- Caution is advised with beverages at the game points. No food on the pitches!
- The customer is responsible for the organisation of the premises, the removal of furniture and equipment and game supplies at the beginning and end of the booking, and general cleanliness.
- The premises, furniture and equipment must be in the same condition as when the space was handed over - see section "Cleanliness" (extra cleaning will be charged at an additional fee of €100 + applicable VAT).
Gaming birthday parties
- You can bring your own gaming and peripheral equipment e.g. mouse, keyboard and headphones
- The customer can bring their own trays
- The package includes 1h of guidance; setting up and guiding the participants, introduction to the game hardware and how to use it
- We encourage customers to use their own game IDs.
- Downloading illegal applications such as torrents is strictly forbidden.
- Caution is advised with beverages at the game points. No food on the pitches!
- The customer is responsible for the organisation of the premises, the removal of furniture and equipment and game supplies at the beginning and end of the booking, and general cleanliness.
- The premises, furniture and equipment must be in the same condition as when the space was handed over - see "Cleanliness" (extra cleaning will be charged at 100 € + VAT 24 %).
Sauna
- The client must use their own towels.
- Tablecloths are used in the sauna (found in the bathroom)
- Rubbish / used tablecloths in the bin
- Glass bottles and drinking glasses are not allowed in the sauna (any broken glassware in the sauna and bathroom will incur an additional cleaning charge of €100 + applicable VAT).
- Drying towels and clothes in the sauna is prohibited.
- Ask about possible towel hire at info@exen.fi.
Security
EXEN staff will go through the safety instructions, exits and general procedures for the premises with the client and will also provide written instructions.
The customer answers:
- for the order and supervision and the safety of the members of the group in the premises they rent.
- the movement of their group in and out of the property.
- the correct use of the door code or key (the client will be instructed on how to enter and lock the premises.)
- that the maximum number of guests in the room is the number indicated by the customer on the booking form and in any emergency plan. The number of participants indicated by the customer must not be exceeded and no outsiders must be admitted!
- organise the consumption of alcohol and smoking at their private parties in accordance with the instructions given by the Lessor.
- fire safety:
- towels/clothes may not be dried in the sauna
- using the ovens with great care and following the instructions
Cleanliness
The rented space, equipment and furniture must be left in the same condition after booking as when you arrived:
- dishes washed / placed in dishwasher
- rubbish and other waste in designated places
- bottles and cans at the designated collection points
- kitchen worktops wiped
- any liquid stains and debris cleaned from floors, levels and playing areas
- blankets and pillows folded on the beds
In case of negligence and excessive untidiness, an additional fee (€100 + applicable VAT) will be charged to the customer due to the cleaning and organisation of the premises by the staff.
Liability for damages
The Customer shall be responsible and liable during the rental period for any damage caused to the Lessor by the use of the premises, equipment and facilities or by the Customer's activities. Any broken/damaged furniture, equipment, installations or structures shall be replaced by the Lessee in full in accordance with the costs incurred. The customer is responsible for insuring their own operations and movables.
The Lessor shall not be liable for any damage caused to the Client's business or property unless it is proved that the damage was caused by the negligence of the Lessor or its staff.
The Lessor has the right to refuse to rent its facilities to the Customer for excessive negligence and non-compliance with instructions already after the first use and after the reported misconduct.
